Our mission is to support healthcare workflows by organizing and presenting information through advanced agentic artificial intelligence technology, while ensuring that healthcare professionals remain fully responsible for reviewing, validating, and using that information in their clinical practice.

Our Services

Mindoo AI offers a range of services aimed at improving your healthcare experience:

  • Efficient Healthcare Communication: Through the Mindoo app, patients and users can engage in structured conversational interactions with AI agents before or after contact with a healthcare professional, including preparation and follow-up. These interactions are intended to collect, organize, and present information for later review by healthcare professionals.
  • AI-Driven Workflow Automation: In addition to conversational agents, Mindoo provides non-conversational AI agents that assist with the preparatory collection, structuring, and organization of information across healthcare workflows, including administrative, follow-up, and coordination tasks. These agents do not provide medical advice or clinical decision-making and operate under the same preparatory and informational principles described in these Terms.
  • Medical Profile Management: Our platform enables you to create, manage, and update a comprehensive medical profile, facilitating a more organized approach to your healthcare.
  • Professional Resources for Healthcare Providers: We offer a specialized dashboard for healthcare professionals, allowing them to access and review patient interactions with our AI, leading to more informed and efficient consultations.

Agreement to Terms

By accessing or using Mindoo's services, you agree to be bound by these Terms of Use and our Privacy Policy. These documents constitute a legally binding agreement ("Agreement") between you and Mindoo. If you do not agree to these terms, please do not use our services. Depending on the context of use, these Terms may apply either to individual users or to healthcare organizations acting on behalf of their healthcare professionals and patients. Where Mindoo is used by or through a healthcare organization, that organization is responsible for ensuring appropriate and compliant use of the platform by its professionals and users.

This Agreement outlines the terms and conditions under which you may use our services and how we will handle the information we collect and share. It is crucial that you read and understand these terms fully before using Mindoo AI.

Your use of Mindoo AI represents your agreement and understanding that these terms affect your legal rights and obligations. If you have any questions or concerns about this Agreement, please contact us before using our services.

User Eligibility and Registration

In order to use the services provided by Mindoo AI, you must meet the following eligibility criteria:

  • Geographical Location: Mindoo's services are currently available to users residing in Belgium. Users outside these areas may not be eligible to register or access our services due to local regulations and the availability of our services.
  • Healthcare Relationship: Mindoo AI is specifically designed for individuals who are preparing for consultations with human healthcare providers or seeking health-related information, as well as for healthcare professionals engaged in providing such services. The platform serves as a preparatory and informational tool, facilitating effective communication and understanding between patients and healthcare providers. It is important to note that Mindoo AI is not intended to replace professional medical advice, diagnosis, or treatment from qualified healthcare providers. Users should always seek the advice of their physician or other qualified health providers with any questions they may have regarding a medical condition. Additionally, Mindoo AI is not intended for use by individuals or entities outside of these described healthcare contexts.

Account Creation Process

To use Mindoo's services, you are required to create an account by completing the registration process. This process includes:

  • Providing Accurate Information: During registration, you must provide accurate and complete information, including your name, email, and any other information deemed necessary by Mindoo AI.
  • Account Security: You are responsible for maintaining the confidentiality of your account login information and are fully responsible for all activities that occur under your account. You must notify Mindoo AI immediately of any breach of security or unauthorized use of your account.
  • Account Updates: You are required to keep your account information up to date and accurate. Should any of your information change, you are responsible for updating your account promptly.

Responsibilities of Users for Account Information

  • AI-Assisted Information Collection: Mindoo’s conversational AI agents engage with users to collect, structure, and organize health-related information before or after patient interactions, including preparation and follow-up. The resulting information is made available to healthcare professionals for review and verification.
  • Professional Healthcare Dashboard: For healthcare professionals, Mindoo offers a specialized dashboard to access and review patient interactions, aiding in personalized patient care and efficient time management.

Guidelines for Acceptable Use

In utilizing the services provided by Mindoo, users are expected to adhere to the following guidelines to ensure a safe, respectful, and legally compliant environment:

  • Complementary Tool: It is important to recognize that while Mindoo facilitates the transfer of valuable health information to healthcare providers, it does not replace the need for direct consultation with healthcare professionals. Mindoo is not intended to make medical decisions, such as diagnosis or treatment plans, which are solely the responsibility of qualified healthcare providers.
  • Respectful Conduct: Users must engage with the platform and other users in a respectful manner. Harassment, abusive language, or any form of offensive behavior is strictly prohibited.
  • Data Protection: Users must comply with applicable data protection regulations and ensure that any health information shared through Mindoo is handled with the utmost confidentiality and security.
  • Prohibited Activities: Unauthorized access, uploading malicious code, unlawful purposes, or misrepresenting your identity are strictly forbidden.

Service Availability and Limitations

Mindoo strives to provide reliable and uninterrupted services. However, users acknowledge and agree to the following:

  • Service Interruptions: We do not guarantee uninterrupted access to Mindoo and may experience temporary outages or disruptions due to maintenance or unforeseen issues.
  • Technical Limitations: The performance and reliability of Mindoo AI depend on various factors including, but not limited to, internet connectivity and third-party systems. We are not responsible for any technical issues that may affect the availability or functionality of our services.
  • Changes to Services: Mindoo AI reserves the right to modify, suspend, or discontinue any aspect of the services at its sole discretion, with or without notice.

Intellectual Property

The Mindoo AI application and its content, including but not limited to text, graphics, logos, and software, are protected by intellectual property laws and are owned or licensed by Mindoo AI. You may not use, reproduce, distribute, or create derivative works from any content on Mindoo AI without our express written permission.

Limitation of Liability and Role of Mindoo

Nature of the Service

Mindoo AI is a software platform that provides AI-assisted tools for the preparatory collection, structuring, and presentation of information in healthcare workflows. Conversational agents may be used before or after patient interactions, including for preparation and follow-up.

The timing of use does not affect the nature of the service. Mindoo does not provide medical advice, diagnosis, treatment, clinical recommendations, or decision support, and does not influence or determine clinical decisions.

All clinical decisions remain the sole responsibility of the treating healthcare professional. Regardless of when conversational agents are used, outputs generated by Mindoo are purely preparatory in nature and must always be independently reviewed, interpreted, and validated by a human healthcare professional before any clinical use.

Outputs generated by Mindoo do not constitute official medical records and are not a substitute for documentation created, reviewed, or approved by healthcare professionals within their own clinical systems.

These principles apply to all Mindoo agents, whether conversational or non-conversational, and regardless of whether they are used before or after patient contact.

No Medical Device Claim

Unless explicitly stated otherwise in writing, Mindoo is not provided as a regulated medical device within the meaning of applicable medical device regulations. The platform does not perform autonomous clinical decision-making and does not determine diagnoses or treatment plans.

User and Provider Responsibility

Users and healthcare professionals are responsible for:

  • the accuracy and completeness of the information they provide to Mindoo
  • independently reviewing and validating all outputs generated by the platform
  • complying with applicable medical, professional, and legal obligations

Mindoo is not responsible for errors, omissions, or outcomes resulting from inaccurate, incomplete, or misleading input data, or from the use of outputs without appropriate professional review.
This responsibility applies irrespective of whether Mindoo is used before, during, or after patient contact.

Availability and Warranties

Mindoo is provided on an “as-is” and “as-available” basis. To the maximum extent permitted by law, Mindoo disclaims all warranties, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

Mindoo does not guarantee uninterrupted availability, error-free operation, or that the service will meet all user expectations.

Limitation of Liability

To the maximum extent permitted by applicable law, Mindoo shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, loss of data, or loss of business, arising out of or related to the use of the service.

Mindoo’s total aggregate liability for any claim arising out of or relating to the service shall be limited to the total fees paid by the user or healthcare organization to Mindoo in the twelve (12) months preceding the event giving rise to the claim.

Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law, including liability for fraud, willful misconduct, gross negligence, or death or personal injury caused by negligence.

Indemnification

Users and healthcare organizations agree to indemnify and hold harmless Mindoo from any claims, damages, or losses arising from:

  • inaccurate, incomplete, or unlawful data provided to the platform
  • misuse of the service or its outputs
  • failure to comply with applicable laws, regulations, or professional obligations

Modifications to Terms

Mindoo AI reserves the right to update or modify these Terms of Use at any time. Any changes will be effective upon posting on our website. Your continued use of Mindoo AI following the posting of changes constitutes your acceptance of the updated terms.
